1.   Purpose of the Privacy Policy

This Privacy Policy (hereinafter referred to as the "Policy") establishes the procedure and conditions for processing personal data, as well as the measures for protecting personal data applied during their processing by the Autonomous Non-Profit Educational Organization of Higher Education  "Scientific and Technological University "Sirius" (hereinafter referred to as the «University»), located at: 354340, Russian Federation, Krasnodar Krai, federal territory "Sirius", urban-type settlement Sirius, Olympic Avenue, 1.

This Policy applies to personal data that may be provided by a user when using online services and websites owned by the University (hereinafter referred to as the "Services"), as well as personal data collected and processed using third-party services owned by other entities.

2.   Terms Used in the Policy

Personal Data Operator — an organization that processes personal data (the University).

Personal Data — any information that directly or indirectly relates to a user (data subject) or allows their identification.

Processing of Personal Data — any action performed with personal data.

Automated Processing of Personal Data — processing of personal data using computer technology (automation tools).

Cross-Border Transfer of Personal Data — transfer of personal data to a foreign entity on the territory of a foreign state.

Destruction of Personal Data – any actions resulting in the irreversible destruction of personal data, making further recovery impossible.

User (Data Subject) — an individual using the University's Services.

Educational Programs — additional professional programs and supplementary educational programs conducted by the University.

3.   User’s Fundamental Rights

In accordance with Federal Law No. 152-FZ of July 27, 2006, "On Personal Data" (hereinafter referred to as the "Personal Data Law"), the user, as a data subject, has the right to:

1)   receive information regarding the processing of their personal data and access to it;

2)   request the correction, blocking, or destruction of their personal data;

3)   withdraw consent to the processing of personal data;

4)   appeal the actions or inaction of the University as a personal data operator to the territorial authority of Roskomnadzor or in court.

To exercise these rights, including withdrawing consent to the processing of personal data, the user may contact the University by submitting a request in one of the following ways:

Requirements for the request:

—     A withdrawal of consent to the processing of personal data must include the essence of the request and data allowing the identification of the user, such as full name, email address used for registration in the University's Services, etc. The University may request additional information for user identification.

—     A request for information regarding the processing of personal data must include the essence of the request and the following user details: full name, identity document details, or the full name and identity document details of the legal representative, along with proof of authority, as well as information about the relationship during which the University obtained the user's personal data or other evidence confirming the processing of the user's personal data by the University.

4.   Information Collected and Processed by the University

The University processes personal data that users voluntarily provide when completing electronic forms available on the University's services, such as when submitting inquiries through website feedback forms or during personal account registration. Additionally, personal data may be provided by users when completing forms on the Sirius.Online platform (https://my.sirius.online/, hereinafter referred to as Sirius.Online), as well as forms available on other services.

The University collects and processes users' personal data only to the extent necessary to achieve the purposes of processing, as defined below.

To achieve its objectives, the University performs the following actions with personal data: collection, recording, systematization, accumulation, storage, clarification (updating, modification), retrieval, use, transfer (provision, access), blocking, deletion, and destruction, using automation tools on servers located in the Russian Federation. Processing may also be performed without automation tools.

Upon reaching the processing period or other conditions for termination of processing, the University ensures the destruction of the user's personal data, as well as the destruction of personal data in the information systems where such data is processed on behalf of the University.

Purposes of processing personal data of users:

1.   Processing User Requests.

Processed data: Surname, first name; year of birth; phone number; email.

Legal basis: Consent to the processing of personal data.

Processing period: Until the purpose is achieved or consent is withdrawn.

2.   Email Newsletters.

Processed data: First name, email.

Legal basis: Consent to the processing of personal data.

Processing period: Until the purpose is achieved (termination of newsletters) or the user unsubscribes.

3.   Registration of a Student Account (https://lks.siriusuniversity.ru).

Processed data: Surname, first name, patronymic; gender; email.

Legal basis: Consent to the processing of personal data.

Processing period: Until the user requests deletion of the account or withdraws consent.

4.   Registration of an Applicant Account (https://lka.siriusuniversity.ru).

Processed data: Surname, first name, patronymic; gender; email; phone number.

Legal basis: Consent to the processing of personal data.

Processing period: Until the user requests deletion of the account or withdraws consent.

5.   Organization and Conduct of Educational Programs and Scientific Conferences.

Processed data: Surname, first name, patronymic; date of birth; email; phone number; identity document details; citizenship; gender; registration/residence address; SNILS; health insurance policy details; employment details; education details (including proof of enrollment); educational qualification documents; resume; personal achievements; test results.

Legal basis: Consent to the processing of personal data.

Processing period: Until the purpose is achieved or consent is withdrawn.

6.   Make an appointment for a consultation and get feedback.

Processed data: First name, age, phone number, Telegram username.

Legal basis: Consent to the processing of personal data.

Processing period: Until the purpose is achieved or consent is withdrawn.

7.   Make an appointment for an online meeting with the heads of educational programs/

Processed data: Last name, first name, patronymic (if applicable), Email, Telegram username.

Legal basis: Consent to the processing of personal data.

Processing period: Until the purpose is achieved or consent is withdrawn.

5.   Use of Cookies

Cookies are small text files sent by websites to a user's device (PC, smartphone, etc.) to store preferences and ensure proper website functionality, analytics, and statistics.

7.   Protection of User Information

The University implements sufficient technical and organizational measures to protect user data from unauthorized or unlawful destruction, loss, alteration, misuse, disclosure, or access, in compliance with Articles 18, 18.1, and 19 of the Personal Data Law and other regulations.

Physical security of servers is ensured by 24/7 guarding and access control systems.

8.   Changes to the Privacy Policy

The University may unilaterally modify or terminate this Policy without prior notice. The updated Policy takes effect upon publication on the University's website unless otherwise specified.
